Consent Information for Online Sessions

Welcome to our very first International Science Camp! We know it’s going to be lots of fun for everyone involved and your child is going to learn along the way. This consent document is to help ensure everyone involved has a safe and positive experience.

We will be using Zoom virtual meetings for the camp and need to be sure you are clear on how these will work, what we will do, and what we expect you to do to keep your child safe online. You will need to download the desktop app (which is free) so that your child can get the most from the features we intend to use.

In order to make sure that your child stays safe online, we ask that you as parents/guardians do the following:

  • Access to the platform is made through the parent/carers account, unless your child meets the age restrictions for the platform.
  • An appropriate adult, like a parent or carer will remain nearby during video or conference calls to help with technical problems or join in (occasionally!).
  • For younger members (8-10 yrs), you will ‘drop off’ your child at the meeting, so we know that they have an appropriate adult nearby if they need a hand. This will also give us a chance to talk with you if we need to. This simply means you saying hello at the start of the session before leaving your child in charge.
  • Your young attendee must take part in the video call in a suitable communal environment (not a bedroom) and be appropriately dressed in clothing that covers top and bottom half of the body.
  • All members of the household must be aware that the call is taking place and make sure they use appropriate clothing, language and behaviour when nearby or in the background.
  • You will make sure your young attendee has ‘logged off’ the call correctly and signed out before turning off any devices.
  • You and your young attendee will not try to contact the session leaders using these online tools outside of the pre-arranged calls. If you as parents/guardians need to contact a leader for any reason we’re always happy to receive any queries to the email addresses you have been given during the booking process.

In order to protect your child, we will:

  • Have a minimum of two adult volunteers present throughout the video call who will stay on the call until all students have ‘logged off’.
  • At least one adult volunteer involved in the call will hold their leadership qualification and a current disclosure certificate (DBS) as required for their role. If required we can provide the relevant DBS number to you.
  • No staff member will contact you outside of any pre-arranged meetings using these online tools and if they do need to contact you will do so following their normal contact procedures (i.e. emailing)
  • Staff will watch through and check any links or videos to which they may direct your young attendee. They will make sure everything they use is age-appropriate.
  • Staff and other adults on the call will use appropriate language/behaviour throughout the call and any inappropriate behaviour or bullying will not be tolerated.
  • All staff will ensure they are in a communal living space throughout the call and any members of their household will use appropriate language/behaviour throughout the call.

Photos and videos may be used for marketing or publicity, including social media, but student names will not be used alongside any images so that students cannot be personally identified. All sessions will be recorded and kept for 1 year for staff training purposes only.
